Person Specification: Volunteer Coordinator
Roles and Responsibilities
Key duties
- Volunteer Coordination & Support
- Coordinate the end-to-end volunteer journey, including recruitment, onboarding, induction, training, and ongoing support.
- Provide day-to-day support to volunteers, ensuring they feel welcomed, valued, and connected.
- Ensure each volunteer has a support package appropriate to the complexity and responsibility of their role, offering regular one-to-one and/or group supervision where appropriate.
- Maintain regular communication with volunteers through meetings, check-ins, newsletters, and updates.
- Work collaboratively with staff teams to identify volunteer needs and match volunteers appropriately.
- Work collaboratively with volunteers and our Learning and Wellbeing programme to support volunteers with personal development plans, training opportunities, and to achieve their goals.
- Volunteer Recruitment and Community Engagement
- Promote volunteering opportunities through local networks, outreach, events, and social media.
- Strengthen relationships with local partners to widen the reach and diversity of volunteers.
- Develop accessible role descriptions that reflect Trust values and community needs.
- Systems, Data and Quality Assurance
- Maintain accurate volunteer records, training logs, agreements, and safeguarding information using Trust systems.
- Monitor volunteer activity, gather feedback to support evaluation and reporting.
- Contribute to the continuous improvement of volunteer processes, documentation, handbooks, and policies.
- Regularly attend reflective practice.
- Volunteer Engagement, Recognition and Culture
- Coordinate volunteer appreciation activities, events, and communications.
- Support a positive volunteer culture by championing inclusion, wellbeing, and Trust values.
- Facilitate opportunities for volunteers to share feedback, ideas, and lived experience.
- Safeguarding, Wellbeing and Best Practice
- Ensure volunteers work safely and confidently, escalating concerns appropriately.
- Promote a trauma-informed and person-centred approach that aligns with our organisational values.
- Work with staff to ensure volunteers receive appropriate training, support, and supervision.
- Cross Team Collaboration
- Work closely with staff to coordinate volunteer roles across Trust services.
- Participate in team meetings, reflective practice, and organisational development activities.
- Represent the Trust positively within the community and at events.

Essential
- Experience coordinating volunteers or delivering volunteer-led services.
- Experience developing volunteer training, recruitment or engagement activities and processes to support the volunteer journey.
- Strong relationship-building skills with people from diverse backgrounds.
- Understanding of safeguarding (adults and children) and the ability to follow procedures.
- Understanding of the complexity, the reasons why someone might want to volunteer, and the ability to recognise suitability for roles.
- Ability to contribute to the design of volunteer programmes and roles.
- Ability to manage multiple tasks, prioritise effectively, and meet deadlines.
- Good understanding of confidentiality, data protection, and GDPR.
- Confident digital skills (Microsoft 365, CRM systems, forms/surveys).
- Experience of project reporting.
- Excellent communication skills – written, verbal and interpersonal.
- Ability to work both independently and as part of a team.
- A positive, solutions-focused and inclusive approach.

Desirable
- Knowledge of Southmead and the issues facing residents.
- Experience in community development, wellbeing, youth, health, or similar sectors.
- Experience using volunteer management or CRM platforms.
- Understanding of the voluntary/community sector in Bristol.
- Knowledge of asset-based approaches, inclusion practices, or trauma-informed work.
